Organization Overview

The Cincinnati Arts Association (CAA) is a not-for-profit organization that oversees the programming and management of two of the Tri-state’s finest performing arts venues – the Aronoff Center for the Arts and Music Hall – and is dedicated to supporting performing and visual arts.

Position Summary

We are seeking a customer-service oriented and highly organized individual to join our team as Office Coordinator. This position serves as the first point of contact at our Aronoff Center for the Arts administrative office and plays a key role in creating a welcoming and professional front office environment. The Office Coordinator is responsible for coordinating office services across departments and providing broad administrative support to ensure smooth daily operations.

Responsibilities

General responsibilities include but are not limited to: serve as the primary point of contact for the main phone line, including training and coordinating phone relief personnel; display professional communication skills in receiving visitors, answering phones, directing calls; promptly open and close front office and other associated areas at the start and end of the business day; oversee, order, stock and maintain inventory of all office supplies including corporate stationary needs; manage the coordination and allocation of parking validations for visitors, and across departments; prepare monthly allocation reports; manage daily metering and distribution of incoming and outgoing mail; manage and coordinate company bulk and mass mailings; oversee postage machine regarding postage refills and maintenance; Stay current on USPS postal regulations and communicate relevant changes to staff; maintain and troubleshoot all administrative area office equipment, including service calls; keep office staff apprised of changes in office services that affect the organization; remain knowledgeable of/and troubleshoot problems regarding office equipment; arrange for courier services for internal departments; maintain front desk manuals and keep updated with current information; provide administrative assistance to other departments as needed.

Qualifications

REQUIRED EXPERIENCE/EDUCATION:

High school diploma or equivalent required. Minimum of three years’ related experience; or an equivalent combination of education, training, and experience.

REQUIRED KNOWLEDGE/SKILLS/ABILITY:

  • Punctuality and reliability are essential
  • Ability to work independently and a self-starter
  • Proficiency with Microsoft (Word, Excel, Outlook)
  • Demonstrated ability to operate and troubleshoot office equipment to support daily administrative tasks.
  • Excellent customer service and phone etiquette skills
  • Professional appearance and demeanor
  • Strong written, verbal, and interpersonal communication abilities
  • Highly organized with attention to detail
  • Ability to lift approximately 15-20 lbs.
