CLIENT RELATIONS SPECIALIST
The Client Relations Specialist serves as a primary Ticketing Services contact for assigned clients, providing knowledgeable, responsive, and solutions-oriented support throughout the event lifecycle. The position works with clients to translate event, sales, and marketing objectives into effective ticketing configurations and strategies. Responsibilities include event creation and maintenance, price scaling, inventory management, presales, promotional offers, package and discount configuration, website content, sales analysis, reporting, and event settlement. The Client Relations Specialist uses CAA’s ticketing systems and related technologies to ensure accurate event setup, successful on-sales, and reporting. As a member of the Ticketing Services team, the Client Relations Specialist supports CAA departments, Broadway in Cincinnati, resident companies, rental clients, promoters, and other organizational partners.
Responsibilities
General responsibilities include but are not limited to: Create, configure, test, and maintain events, pricing, inventory, seating configurations, packages, promotions, and other ticketing components to support client objectives and ticket sales; coordinate event setup, on-sales, event changes, and operational requirements with clients and internal stakeholders while ensuring the accuracy of all customer-facing and operational information. Monitor event sales activity and recommend pricing, inventory, promotional, and marketing adjustments based on sales trends, client goals, and business needs. Support ticket sales and marketing initiatives through the effective use of ticketing systems, integrated technologies, websites, and customer-facing platforms. Maintain accurate event content, promotional messaging, and sales information while communicating key event details. Prepare, review, and distribute patron lists, sales reports, inventory reports, settlements, and other ticketing-related documentation for clients and organizational partners. Reconcile ticketing activity and collaborate with clients and other departments to resolve reporting, settlement, and operational issues. Maintain complete and accurate records of event activity, client approvals, reporting, settlements, and related documentation. Collaborate with colleagues and organizational partners to improve processes, support client needs, increase ticket sales opportunities, and enhance customer service. Maintain confidentiality of customer, client, financial, and organizational information while adhering to established policies, procedures, and internal controls. Participate in departmental meetings, training, and special projects, and provide evening, weekend, and event-related support as required.
Qualifications

REQUIRED EXPERIENCE/EDUCATION: Bachelor’s degree in a related field from an accredited college or university, and a minimum of 3 years’ related experience; or equivalent combination of education and experience that provides the required knowledge, skill, and abilities.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES:
• Possess the technical aptitude and the capacity to fluently operate the ticketing systems (Paciolan and Archtics) utilized by CAA
• Ability to work under pressure in a fast-paced environment while maintaining a pleasant and patient attitude
• Ability to provide professional communication to staff and clients to ensure excellent service
• Able to work effectively with a broad range of people
• Ability to work independently across multiple projects
• Computer experience with database and spreadsheet software
• An understanding of database structure
• Superior attention to detail, strong analytic abilities and organization skills
• Basic knowledge of Microsoft office, web services and HTML
• Experience with CRM software
• Excellent written and interpersonal skills
• Ability to work evenings and weekends as needed
