Day of a SchoolTime Performance
Preparing for Performance Day
- CAA will reach out 1-2 weeks ahead of your performance date with a “Know Before You Go” email with information to help you prepare for your visit.
- If you have any special seating needs, please let the CAA Education Team know at least three weeks prior to the performance.

Arrival

- Please be sure to refer to your Know Before You Go email for any show specific direction changes
- A school bus sign will be sent to the coordinator a week ahead of the performance. Signs should be placed in the first passenger window next to the door. If the windows are tinted, place the sign in the door's window.
- Actual tickets are not issued. Upon arrival, an usher will meet you at your bus and escort you to your seats.
- If you experience a delay on the day of the show, call 513-977-4116 or education@cincinnatiarts.org and let us know the approximate time of arrival.
Arrival Times:
- If attending a 10:00 AM performance, buses should plan to arrive between 9:10-9:40 AM
- If attending an 11:00 AM performance, buses should plan to arrive between 10:10-10:40 AM
- If attending a NOON performance, buses should plan to arrive between 11:25-11:45 AM.
- If attending a 12:30 PM performance, buses should plan to arrive between 11:55 – 12:15 PM.
During the Performance
- Bus drivers must remain with their buses throughout the performance.
- Volunteer ushers will be stationed throughout the theater and lobby. Please alert them if assistance is needed.
Dismissal
- At the end of the performance, please remain seated. You will be dismissed from the stage.
- Cincinnati Arts Association is not able to provide space for class lunches.
- SchoolTime performances are approximately 45-60 minutes long, unless otherwise noted.
- We make every effort to get school groups back to school on time. Below is the average amount of time dismissal can take from each theater. Still, it may take longer due to the size of the performance. Please plan accordingly.
- Jarson-Kaplan Theater: up to 15 minutes
- Procter & Gamble Hall: up to 45 minutes
Audience Etiquette

Actors love to perform just for you… the audience! While on stage, they can hear and see what the audience does, so please keep the following guidelines in mind:
- No non-performance related talking or gesturing
- Turn off all electronic devices (cell phones, iPods, cameras, alarms on watches, etc.)
- No throwing objects or spitting
- No photographing or recording of the performance
- Please help us keep our buildings beautiful during your visit:
- No gum, food, or drinks are allowed in the theater
- No smoking in the building
- Please keep feet off theater seats
Don’t Forget!

Payment OR a purchase order is due no less than six weeks prior to the performance date. If submitting a purchase order, orders must be paid in full two weeks ahead of a performance.

All changes and cancellations must be confirmed by the CAA Education Department at least three weeks prior to the presentation date. If this deadline is not met, responsible parties will be charged the original invoice amount.
- All school groups are responsible for scheduling their own transportation, regardless of transportation subsidy status.
- Cincinnati Arts Association is not able to provide space for class lunches.
